Job Description: 

The Office Services Coordinator sits at the reception desk and is the first point of contact for visitors. The Office Services Coordinator is also responsible for office administration duties such as keeping the office stocked with supplies and handling incoming and outgoing mail.

Roles and Responsibilities:

  • Reception duties, including:
    • Answering the telephone and managing incoming requests to Vesta’s general email inbox
    • Greeting visitors and getting them settled.
  • Ordering office supplies for all employees and stocking them in common areas
    • This includes stationery and printing supplies, as well as coffee and kitchen supplies
  • Handling of couriers (local and Fed Ex), incoming and outgoing mail, and faxes
  • Ensuring the common areas such as reception, meeting rooms and the kitchen area are kept tidy (including filling and emptying the dishwasher and ensuring the fridge/freezer is clean)
  • Managing Vesta office credit card expenses and reconciliation for ongoing office expenses such as fruit delivery and Office 365 subscriptions
  • Ordering company logo attire, giveaways, branded items, etc.
  • Liaison between Vesta and building management and security (Oxford) for office maintenance and access
    • Liaison with suppliers for office maintenance issues (printer/photocopiers, coffee machines, etc.)
  • Maintenance of company directory, organization chart and floor plan
  • Onboarding and offboarding of staff including liaising with IT for network access
  • Facilitating office pool vehicle usage
  • Ordering monthly treats for office staff, and flower/gifts for employee events (i.e. bereavement / weddings / babies / retirements)
  • Social event planning for Christmas, Stampede, and other activities (golf, bowling, etc.)
  • Provide professional and confidential support to the Senior Leadership Team members as needed including:
    • Managing travel arrangements
    • Facilitating the review and signature of documents and ensuring proper completion
    • Managing expenses
    • Preparing documents for meetings
    • Assisting with corporate and departmental budgets
  • Coordinating company town halls including sending out invites and organizing logistics
  • Coordinating various internal and external team meetings and events, including preparing draft agendas and arranging catering
    • This includes trips to the field with external parties, such as investors
  • Organizing and maintaining electronic files, ensuring the efficient filing and retrieval of information
  • Other duties as required.
